As a Corporate Executive, one of your most important tasks is chairing meetings. When conducting chairing meetings, it is important to remember that no one is perfect. Therefore, by being prepared, you will be more successful. One of the best ways to do this is to prepare a handout with information pertaining to the meeting. Provide everyone with information that relates to the agenda of the meeting. Providing a detailed outline will also help attendees understand where they are going. Also, by providing a list of what needs to be accomplished within the meeting, you show your attention to the details of the task at hand.

The first step to chairing effective meetings is to make sure that everyone understands what is expected of them. Conducting a question and answer session after the meeting is conducted, is an excellent way to get everyone involved in what they need to know. Ask questions regarding the agenda of the meeting, the project, and goals. Also, after every meeting, make sure that everyone has a pen and piece of paper with which they can note down new information or items they might want to bring up during future meetings. By providing this simple reminder, you are providing a very effective method of chairing meetings.

If you are unable to be a presence during the meeting in person, try attending via remote access software. By using remote access software, you can log into the meeting remotely, so you can attend via a secure connection. Also, you can print out any important documents that you may need later, allowing attendees to take notes and ask questions when it is convenient for them. If you find yourself unable to appear in person at the meeting, provide a short voice recording of your name. Then, take along a small note pad or a pen and paper so that attendees can jot down notes about the speaker. You can also use these tools as an opportunity to teach new attendees the basics of meeting procedure.

Another technique to Chairing Meetings is to make sure everyone understands what is expected of them before the meeting even begins. Attendees should have an understanding of the date and time the meeting is scheduled for. They should also be given a timeline of the tasks they need to accomplish during the meeting and what milestones should be hit during the meeting. For example, if a project is due for review at two specific times, make sure all attendees know this information ahead of time so that things will be organized and everyone knows exactly how long they have to do what task.

Another technique to Chairing Meetings is to use the meeting agenda as a tool to communicate expectations during the meeting. Simply stating the agenda item number in the agenda, without discussing it with members, provides an opportunity to discuss it with other individuals who might be interested in hearing about it. In some cases, you may run out of time before the meeting is to end; in this case, stating the agenda item number may run out before the time allotted for it expires, but still providing a means for attendees to see what tasks are expected of them. Allowing attendees to see this information ahead of time provides them with an opportunity to prepare themselves for the meeting in an organized manner, and to leave with a sense of direction for the project or agenda they are working on.
